Triage before speed

First confirm the event, timestamp, routing result, and any caller message. Remove duplicates and obvious spam. Never infer urgency from a phone number alone.

Close the loop

Give every queue item one explicit state: reached, voicemail left, message sent, scheduled, escalated, duplicate, spam, or no further action under policy. Review unresolved items on a fixed cadence instead of letting them disappear in a generic inbox.

Define a named owner for each category.
Publish callback windows internally.
Test with synthetic records before using real data.
Measure backlog age separately from raw call count.
Keep a manual fallback when automation is unavailable.
